Privacy Policy

This policy explains how Intellimate AI handles personal information. It covers this website, the assessment we run for you, and the Intellimate AI product you log in to.
Two different roles
Your information: your name, your email address, your business, your billing. We decide how that is used, so we are responsible for it.
The information you put into the product about other people. The businesses and processes you assess, the client details that end up in an opportunity or a proposal, and the people who complete an assessment through a link you sent. That is yours. We hold and process it on your instructions and do not use it for our own purposes, with one exception described under Where AI is involved: an anonymized record of a delivered, measured engagement may inform recommendations for other customers. If you ask us to delete it, we delete it. Your own privacy policy, not this one, is what governs your relationship with those people.
If you use Intellimate AI for your own business rather than on behalf of clients, only the first of these applies to you.
What we collect
When you sign up. Your name, email address and company name.
When you subscribe. Billing details. Card numbers go straight to our payment processor and are never stored on our systems; we keep only the customer reference it gives us.
When you use the product. The processes, opportunities, business cases, proposals and documents you create, and a log of significant actions taken in your workspace so you and we can see who changed what. We also record how much AI processing your workspace uses, because that is what we bill on.
When somebody completes an assessment. If a person fills in a Business Risk Assessment through a link you sent, we record the name, email address, company and phone number they give, the answers they provide, the score and cost-of-inaction figure calculated from them, and the IP address and browser their submission came from.
When you use the chat on this website. What you type, and any contact details you choose to give so we can follow up.
When you contact us. Whatever you send us in a message or a form.
Automatically. Which pages and features are used, including where on a page people click and scroll, whether a visit is a return visit (which can change what the site shows you), and error reports when something breaks. Our analytics are not connected to any advertising account, and we do not use remarketing.
Why we collect it
To create and run your workspace, to produce the assessments and business cases you ask for, to take payment and meter usage, to answer you when you write to us, to keep the service working and secure, and to tell you about things that affect your account such as a renewal or an outage. We do not sell personal information, and we do not share it for cross-context behavioral advertising.
Where AI is involved
Intellimate AI is an AI product, so it matters where that AI touches information.
Producing your results. The business details you submit, and the public information we gather about the business being assessed, are sent to third-party AI providers that generate the analysis, the process extraction and the written output you receive.
Learning from delivered work. When an engagement has been delivered and its result measured, we may add an anonymized record of it to a shared outcome library: the kind of problem, what was prescribed, and what was predicted against what was measured. A person reviews every record before it is added and removes client names and anything else that identifies a business or a person. Recommendations for other customers can draw on those records. To keep your engagements out of the library, write to us.
Finding comparable work. To find relevant records, the text of a request is converted into a numerical representation by a third-party AI provider.
The chat assistant on this website. If you use it, what you type is processed by an AI provider to answer you, and the conversation is kept so we can follow up. Your IP address is used to limit abuse of the chat. A member of our team can see the conversation and step into it.
Screening inbound messages. Inquiries sent through our website are read by an automated system so that genuine messages reach us and unwanted bulk messages do not.
No training on your information. We do not permit our AI providers to train their models on what you or your clients send us.
No solely automated decisions. Automated processing here informs decisions; it does not make a decision about a person that has a legal or similarly significant effect without a person involved.
Who else handles it
We do not run every piece of this ourselves. Companies we hire handle parts of it for us, under contract, acting only on our instructions and never for their own purposes. They are the providers who host the platform and store its data, deliver our email, process payments, measure how the website is used, monitor errors, and supply the AI systems described above.
We also disclose information where the law requires it, or where it is necessary to protect someone’s safety or our legal rights.
If you would like the current list of those providers by name, write to us and we will give it to you.
How long we keep it
We keep your workspace and its contents for as long as your account exists, except that work on the Free plan may be removed after 30 days. Tell us to delete your workspace and we will; any outcome library records that came from it are deleted with it.
Assessment submissions are kept with the account that captured them for as long as that account exists, and deleted when the account holder asks us to delete them. Chat conversations from this website are kept so we can follow up, and deleted on request. Financial records such as invoices and payments are kept for as long as the law requires us to keep them.
Your rights and choices
Depending on where you live, you may have the right to see the personal information we hold about you, correct it, delete it, get a copy in a portable form, object to or limit certain uses, and withdraw consent you previously gave. You have the right not to be treated differently for exercising any of them.
Write to support@intellimate.ai and we will act on it. We may need to confirm who you are first. If your request is about information inside a customer’s workspace, such as an assessment you completed for someone who uses Intellimate AI, we will pass it to that customer, who is responsible for it, and help them answer you.
Security
We encrypt data in transit and at rest, separate each workspace’s data at the database level so one account cannot read another’s, restrict internal access to the people who need it, and monitor for faults and abuse. No system is perfectly secure, and we will tell you promptly if something happens that affects you.
Children
Intellimate AI is a business product and is not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, write to us and we will delete it.
Changes to this policy
If we change this policy we will update the date at the top, and we will tell you before a material change takes effect.
